Academic Coordinator

Reports to: Director of Academic Affairs

Job Summary

Under the direction of the Director of Academic Affairs, the Academic Coordinator supports the implementation, coordination, and monitoring of the school’s academic programs and systems. The Coordinator works closely with Heads of Department, teachers, TOSAs, Student Affairs, Inclusion, Wellness, the library, and other relevant departments to ensure that academic expectations are communicated, implemented, documented, and followed consistently. The Academic Coordinator assists with curriculum implementation, assessment administration, academic data, teacher support, student placement, academic platforms, and daily academic operations. The position supports the Director of Academic Affairs in translating school-wide priorities into organized procedures and timely follow-up. Strategic decisions, policy approval, budget authority, and final academic decisions remain with the Director of Academic Affairs and Principal.

Qualifications

- Bachelor’s degree from an accredited university in Education, Curriculum and Instruction, Educational Leadership, or a related field. A master’s degree is preferred. - Working knowledge of curriculum, assessment, and standards-based instruction, including Common Core, NGSS, and relevant Ministry of Education requirements. - Strong organizational skills and the ability to coordinate multiple academic processes and deadlines. Ability to collect, verify, organize, and interpret academic data. - Proficiency with Microsoft Office, Microsoft Teams, student information systems, and other academic platforms. - Strong written and verbal communication skills. - Demonstrated professionalism, confidentiality, sound judgment, and attention to detail. - Ability to provide coaching, mentoring, and professional development to HODs. - Knowledge of the American curriculum, A-G requirements, and standardized testing, including SAT and AP exams.

Responsibilities

Curriculum and Instructional Coordination • Supports the Director of Academic Affairs in implementing the school’s academic framework, curriculum expectations, and instructional priorities. • Coordinates the collection and review of curriculum maps, pacing guides, essential standards, weekly plans, newsletters, study guides, and other required academic documentation. • Monitors submission deadlines and follows up with HODs and teachers regarding missing, incomplete, or inconsistent academic documents. • Assists departments in accessing approved curricula, instructional resources, textbooks, digital platforms, and academic materials. • Supports HODs and teachers in interpreting academic expectations and implementing approved instructional procedures. • Identifies recurring curriculum or implementation concerns and reports them to the Director of Academic Affairs. • Helps coordinate academic projects, literacy initiatives, intervention programs, and other school-wide instructional priorities. Assessment Coordination • Supports the planning and administration of internal and external assessments. • Assists in preparing assessment calendars, examination schedules, proctoring assignments, room arrangements, student lists, and testing materials. • Coordinates with teachers, HODs, Inclusion, IT, and Student Affairs to ensure that assessment procedures and approved accommodations are implemented correctly. • Monitors the submission, formatting, review, printing, security, and distribution of assessments under the direction of the Director of Academic Affairs. • Assists with make-up assessments, resit examinations, assessment records, and communication with relevant staff and families. • Verifies that teachers submit grades and required assessment documentation accurately and by the established deadlines. • Reports assessment irregularities, missing information, or procedural concerns to the Director of Academic Affairs. Academic Data and Documentation • Collects, organizes, and verifies academic data from internal assessments, external assessments, report cards, attendance records, placement tests, and academic platforms. • Prepares summaries, trackers, reports, and preliminary analyses for review by the Director of Academic Affairs. • Maintains accurate and confidential academic records in accordance with school procedures. • Assists with report-card quality checks, transcript preparation, grade verification, and academic record audits. • Supports the use of academic data to identify students requiring intervention, enrichment, language support, or additional monitoring. • Coordinates with relevant staff to correct missing, inconsistent, or inaccurate academic information. • Supports data preparation and evidence collection for accreditation, Ministry reporting, and school-improvement processes. Student Placement and Academic Support • Supports the coordination of placement testing, academic screening, and review of incoming student records. • Ensures that placement procedures, testing requirements, and academic documentation are completed before recommendations are submitted. • Assists the Director of Academic Affairs with student placement, class-change, retention, promotion, and academic-support reviews. • Coordinates the collection of teacher feedback and student performance data for academic case reviews. • Monitors approved academic intervention plans and follows up with staff regarding implementation and documentation. • Supports communication among Academic Affairs, Student Affairs, Inclusion, Wellness, teachers, and families when academic concerns require coordinated action. • Refers decisions outside the position’s authority to the Director of Academic Affairs. Teacher Support and Professional Development • Provides practical support to teachers in using approved academic platforms, curriculum resources, assessment procedures, and documentation systems. • Assists with the organization of professional-development sessions, orientation activities, academic workshops, and training materials. • Collects staff feedback and helps identify areas requiring clarification, training, or additional academic support. • Supports the induction of new teachers into the school’s curriculum, assessment, grading, planning, and reporting expectations. • Shares approved resources, templates, procedures, and reminders with staff. • Reinforces academic expectations through professional communication and timely follow-up. • Conducts informal and formal observations and provides constructive criticism and positive feedback to teaching staff. • Does not independently evaluate staff performance or issue formal directives unless specifically authorized by the Director of Academic Affairs. Academic Operations and Resource Coordination • Supports the preparation and maintenance of the academic calendar, assessment calendar, review schedules, testing schedules, and other academic timelines. • Coordinates routine academic communications, reminders, document requests, and follow-up actions. • Assists with textbook inventories, curriculum-resource tracking, printing requests, and distribution of instructional materials. • Works with the librarian to support literacy programs, research activities, library events, and the integration of library resources into instruction. • Coordinates with Operations, HR, IT, Student Affairs, Communications, Finance, and other departments when academic activities require logistical or technical support. • Helps ensure that teachers and students have timely access to required academic platforms, class groups, schedules, materials, and resources. • Maintains organized electronic and physical records for Academic Affairs. Accreditation and Continuous Improvement • Assists with collecting, organizing, labeling, and maintaining evidence required for accreditation and school-improvement initiatives. • Supports committees with academic data, documentation, meeting records, timelines, and follow-up tasks. • Monitors assigned action items and communicates approaching deadlines to the responsible staff. • Helps document progress toward academic objectives and school-improvement priorities. • Supports surveys, stakeholder feedback processes, program evaluations, and academic reviews as assigned. • Maintains confidentiality and accuracy when handling accreditation evidence and institutional records. Communication and Collaboration • Communicates approved academic expectations, schedules, procedures, and updates to staff in a clear and timely manner. • Works collaboratively with HODs while respecting their responsibility for supervising instruction within their departments. • Maintains professional communication with students and families regarding routine academic processes when assigned. • Escalates sensitive, disputed, or high-impact academic matters to the Director of Academic Affairs. • Attends academic meetings, records decisions and action items when requested, and follows up on assigned responsibilities. • Promotes consistent implementation of school policies and academic procedures across departments. Authority and Accountability The Academic Coordinator works within the authority delegated by the Director of Academic Affairs. The Coordinator may organize processes, request required documentation, communicate approved expectations, monitor deadlines, and follow up on assigned responsibilities. The Academic Coordinator may not independently approve or change school policies, curriculum, student placement, assessment requirements, grades, staffing assignments, budgets, accommodations, promotion or retention decisions, or disciplinary consequences unless expressly authorized by the Director of Academic Affairs or Principal. Additional Responsibilities The Academic Coordinator may be assigned other academic duties consistent with the nature and level of the position. Responsibilities may be adjusted as the school’s academic programs and operational needs develop. Flexibility and Additional Duties - The Employee agrees to be flexible regarding working hours based on campus operational needs, including shifts, weekends, or holidays, in line with the applicable limits and overtime entitlements under Iraqi Labor Law No. 37 of 2015. - The Employee also agrees to perform additional tasks reasonably related to their role, as assigned by the School from time to time, beyond those specifically listed in this Terms of Reference.

Experience Requirements

- Minimum of three years of successful teaching experience. - Previous experience in academic coordination, departmental leadership, or instructional support is preferred.
