IT Coordinator
Reports to: Director of School Operations
Job Summary
The IT Coordinator is responsible for the overall leadership, management, security, maintenance, and efficient operation of AIS's information technology infrastructure and services. The position oversees IT infrastructure, networks, servers, hardware, software, Microsoft 365, Active Directory, cybersecurity, CCTV systems, educational technology, classroom technology, printing systems, communication systems, biometric attendance, school bell systems, audio-visual systems, the school website, technical support, and technology projects. The IT Coordinator provides leadership and technical direction to IT staff and coordinates with school leadership, departments, vendors, Internet Service Providers (ISPs), and external technical service providers to ensure reliable, secure, efficient, and cost-effective technology services that support teaching, learning, student safety, and school operations.
Qualifications
• Bachelor’s degree in Information Technology, Computer Science, Information Systems, or a related field. • Excellent English communication skills; Kurdish and Arabic are an advantage. • Strong commitment to confidentiality, professionalism, accountability, and service quality.
Responsibilities
A. IT Infrastructure, Network and Systems Management • Oversee and maintain AIS IT infrastructure, including networks, servers, computers, hardware, software, and technology systems. • Manage and troubleshoot LAN, Wi-Fi, switches, routers, firewalls, wireless controllers, access points, cabling, and network connectivity. • Monitor network performance, Wi-Fi coverage, system availability, and infrastructure capacity; implement improvements as required. • Perform and coordinate system maintenance, configuration, upgrades, replacement, patching, and lifecycle management. • Maintain accurate IT asset, system, configuration, and equipment records. • Ensure reliable backup, data recovery, disaster recovery, and business continuity arrangements for critical systems. B. Microsoft 365, Adobe, Active Directory and User Account Management • Administer Microsoft 365, Adobe applications, Active Directory, email, Teams, user accounts, permissions, memberships, authentication, and access controls. • Create, modify, suspend, and deactivate user accounts and application access in accordance with AIS procedures. • Configure and manage computers and laptops, including operating systems, Microsoft 365 and Adobe applications, security settings, and user configurations. • Manage IT account, software, and equipment requirements for staff onboarding, transfers, and offboarding. • Resolve account, login, authentication, email, Microsoft 365, Adobe, and access-related issues.. C. Cybersecurity, Data Protection and IT Risk Management • Implement and maintain cybersecurity controls to protect AIS systems, networks, devices, and information. • Monitor and respond to cybersecurity threats, unauthorized access, breaches, and other IT security incidents. • Ensure appropriate security updates, patches, antivirus/endpoint protection, authentication, passwords, permissions, and access controls are maintained. • Maintain data security and confidentiality in accordance with AIS policies and applicable requirements. • Develop and maintain IT security policies, procedures, and technical guidelines. • Promote cybersecurity awareness, responsible technology use, and data protection among staff and students. D. Hardware, Software and Printing Systems • Provide technical support for computers, laptops, printers, peripherals, software, applications, and other IT equipment. • Diagnose hardware and software problems and coordinate repair, replacement, installation, and maintenance. • Manage school printing systems, including print servers, network printers, user permissions, print limits, and usage monitoring. • Maintain Y-Soft or comparable print-management systems where applicable. • Monitor software licenses, subscriptions, renewals, and licensing requirements and recommend changes when necessary. E. CCTV and Security Technology • Manage, maintain, and troubleshoot AIS CCTV and related security technology systems. • Oversee the operation of the school's CCTV infrastructure, currently comprising approximately 240 cameras. • Manage CCTV cameras, NVRs, cabling, connectivity, configuration, installation, relocation, maintenance, and troubleshooting. • Monitor system availability and coordinate external technicians or service providers for maintenance, upgrades, and technical issues. • Ensure CCTV systems are operated securely and in accordance with AIS policies and applicable requirements. F. Educational and Classroom Technology • Manage and support the LMS and other educational technology platforms. • Support smart boards, interactive displays, projectors, multimedia equipment, computer labs, tablets, Chromebooks, and other classroom technology. • Assist teachers, staff, and students with educational technology and related technical issues. • Research and recommend technology solutions that support AIS educational objectives. • Provide or coordinate staff training on effective and secure use of educational technology. G. Assessment and Testing Technology • Provide technical support for online, computer-based, and standardized assessments. • Prepare and configure devices, connectivity, software, and secure browser requirements for testing. • Support NWEA MAP Testing and NWEA Secure Browser where applicable. • Coordinate with academic departments to ensure assessment technology is ready and operational. • Troubleshoot and resolve technical issues during testing periods. H. Specialized School Technology and AV Systems • Manage and troubleshoot biometric attendance systems, including device configuration, networking, IP settings, connectivity, and cabling. • Configure and maintain automated school bell and notification systems. • Manage and support Cisco IP/VoIP telephone systems, including phones, extensions, and connectivity. • Support audio, auditorium sound, presentation, display, and other AV systems. • Provide technical support for assemblies, events, meetings, presentations, and other school activities requiring IT or AV support. I. Accreditation and IT Compliance • Take responsibility for all IT-related requirements associated with school accreditation and continuous improvement. • Prepare and maintain required IT evidence, documentation, policies, records, and reports, and participate in accreditation preparation, reviews, visits, and follow-up as required. • Participate in accreditation preparation, reviews, visits, and follow-up as required. J. School Systems Development • Work with school leadership and departments to develop, implement, integrate, and continuously improve digital systems and workflows that support the school’s academic and operational needs. K. PowerSchool Technical Administration and Support • Serve as the technical lead and primary IT support for PowerSchool. • Manage technical configuration, access and permissions, troubleshooting, integrations, interfaces, report writing, and other system-related technical requirements. • Perform the PowerSchool Technical Lead and Technical Lead/Help Desk responsibilities, including support for upgrades, testing, third-party interfaces, and new functionality. • Coordinate with the PowerSchool Project Manager and relevant stakeholders to ensure the system remains reliable, secure, and fully operational. L. IT Support and Help Desk • Provide timely and professional technical support to staff and students through the help desk, email, phone, or in-person support. • Troubleshoot hardware, software, network, account, printing, classroom technology, AV, telephone, and other IT-related issues. • Prioritize critical incidents, escalate complex issues when necessary, and follow up through resolution. • Identify recurring issues and implement preventive or long-term solutions. • Maintain appropriate records of support requests, recurring issues, resolutions, and maintenance activities. M. School Website Management • Manage the technical functionality, availability, security, and performance of the AIS website. • Coordinate website updates, content publishing, technical maintenance, and troubleshooting with relevant departments. • Coordinate with external developers or service providers when required. N. IT Projects, Planning and Continuous Improvement • Plan and implement IT infrastructure upgrades, system improvements, technology replacements, and new initiatives. • Assess current and future technology requirements and recommend appropriate, secure, reliable, and cost-effective solutions. • Contribute to IT planning, budgeting, technology investments, and long-term infrastructure requirements. • Evaluate emerging technologies and opportunities for modernization and efficiency. • Coordinate project activities, resources, timelines, and technical requirements within approved budgets. O. Vendors, ISP and Procurement Management • Oversee the technical execution and quality of work carried out on AIS IT systems and report any technical issues or deficiencies to the Supply Chain Officer for follow-up with the relevant vendor or service provider. • Collaborate with the Supply Chain Officer on any procurement related to IT by providing technical specifications, requirements, and recommendations. P. IT Department Leadership and Administration • Supervise, guide, and support IT staff and technicians and allocate responsibilities according to operational priorities. • Establish IT service standards, procedures, priorities, and performance expectations. • Monitor the quality and effectiveness of IT services and ensure timely follow-up on outstanding issues. • Prepare and monitor the IT department budget and technology-related expenditures. • Develop and maintain IT policies, procedures, standards, user guidelines, and technical documentation. • Maintain accurate records relating to assets, systems, licenses, users, vendors, maintenance, and projects. • Provide regular reports and updates to the Director of School Operations on significant IT issues, projects, risks, requirements, and progress. • Promote professionalism, accountability, teamwork, confidentiality, and high-quality service within the IT Department. Q. Communication, Collaboration and Training • Communicate effectively with staff, students, leadership, and other stakeholders regarding IT services, requirements, incidents, and planned changes. • Collaborate with departments to understand technology needs and provide appropriate solutions. • Provide user guidance, training, technical instructions, and support materials. • Support IT orientation for new staff and students. • Communicate planned maintenance, outages, significant incidents, and technology changes in a timely manner. • Promote responsible, secure, and effective use of technology across AIS. General Responsibilities • Maintain strict confidentiality of school, staff, student, parent, and operational information. • Follow AIS policies, procedures, cybersecurity requirements, data protection requirements, and professional standards. • Protect AIS technology systems, information, equipment, and resources from unauthorized access, misuse, damage, or loss. • Maintain professional conduct and provide respectful and responsive service to all members of the AIS community. • Maintain accurate and up-to-date IT documentation and records. • Participate in school activities and events where IT or technical support is required. • The Employee agrees to be flexible regarding working hours based on the campus operational needs, including shifts, weekends, or holidays, in line with the limits and overtime entitlements under Iraqi Labor Law No. 37 of 2015. The Employee also agrees to perform additional tasks reasonably related to their role, as assigned by the school from time to time, beyond those listed in their job description
Experience Requirements
• experience in IT support, systems/network administration, or IT management, preferably in an educational or similarly complex environment. • Strong knowledge and practical experience in IT infrastructure, LAN/Wi-Fi, hardware, software, systems administration, and technical troubleshooting. • Experience with Microsoft 365, Microsoft Teams, Active Directory, user accounts, authentication, permissions, and access management. • Experience with CCTV/NVR systems, printing systems (Y-Soft or similar), educational/classroom technology, AV systems, and specialized school technology is an advantage. • Knowledge of cybersecurity, data protection, backups, and IT risk management. • Experience supporting online/computer-based assessments, with NWEA MAP Testing and Secure Browser experience as an advantage. • Experience coordinating ISPs, vendors, external technicians, procurement, and technical services. • Strong leadership, project management, problem-solving, organizational, and communication skills, with the ability to manage multiple priorities and urgent technical issues. • Ability to lead and supervise IT staff and external service providers.
